BUILDING AND EQUIPMENT USAGE
POLICY AND PROCEDURE
1.0
POLICY/PROCEDURE
1.1 This
policy is authorized by the Monadnock Covenant Church Council and
published in order that all might know the conditions governing the use
of our facilities and equipment.
1.2 The
purpose of Monadnock Covenant Church’s building, grounds, and equipment
is to serve the needs of members and friends, the neighborhood, and the
community to provide for maximum use, for the greatest service.
1.3 The
people at Monadnock Covenant Church are thankful for their building,
grounds and equipment, view them as a gift from God, and desire to be
good stewards of this gift so that their use will honor and glorify God.
1.4
Application for exception to this policy may be made in writing to the
Monadnock Covenant Church Council.
2.0 SCOPE
2.1 The
use of the building, grounds, and equipment shall be confined to
religious, educational, social services, recreation, and other character
building functions.
2.2 Use
of the building/grounds for any commercial or revenue generating
activity other than those sponsored or supported by the church is
prohibited.
2.3
Approval of, and scheduling events for building use will be done under
the direction of the Building Use Coordinator.
2.4
Church sponsored activities will be given first priority.
2.5
Smoking, the use of alcohol, or illegal drugs in the church building or
on church property is prohibited.
2.6 A
person designated by the Building Use Coordinator will provide access to
the building outside of normal business hours.
2.7 Food
and beverages are normally restricted to the Kitchen and Fellowship
Hall.
2.8 All
parking is to be in church parking lot – no parking on the church grass
or on Base Hill Road.
2.9
Throwing of confetti, birdseed, or rice is not allowed inside or outside
of Minsitry Center.
2.10There is a curfew of 10:00 pm except with special permission.
3.0
PROCEDURE FOR BUILDING USE COORDINATOR
3.1
Verify that the intended building activity or service, by the requesting
individual(s), group or organization (user), is consistent with the
values stated in this policy.
3.2
Determine that room set up, special assistance or equipment needs can be
accommodated.
3.3
Complete the form “Request for Building and Equipment Usage/Hold
Harmless Agreement”. Include the “Addendum to Request for Building and
Equipment Usage/Hold Harmless Agreement Non Church Member Use: as
appropriate.
3.4 Refer
to Rental Fee Schedule to determine total usage cost. Coach requester
on obtaining church sponsorship as appropriate.
3.5
Collect applicable fees as determined above in items 3.4 and advise
Financial Secretary and Treasurer as to distribution.
3.6
Review with requesting user, policy/guidelines from “Building and
Equipment Usage Policy and Procedure” as it relates to the
activity/request.
3.7
Supply copy of applicable building use guidelines to user as deemed
necessary.
3.8
Obtain proof of liability insurance coverage for “Non-church Member Use”
requests and attached copy to “Hold Harmless Agreement”.
3.9
Obtain draft for room set-up when required and attach to “Hold Harmless
Agreement”. Forward copy to Property Committee.
3.10Obtain approval of caterer when indicated. Attach copy of Caterer’s
license and insurance to “Hold Harmless Agreement” and coordinate
arrival/building open time with caterer.
3.11Contact the Chair of Worship Ministry when the scheduling of a sound
engineer or projectionist is needed for usage requests that involve the
multi-media equipment or the use of musical instrument(s).

Subject: Kitchen
1.0
POLICY/PURPOSE
1.1 The
Church Kitchen is an effective and meaningful extension of the church
ministry. Its proper use is crucial to the safety and well being of all
friends and members of Monadnock Covenant Church.
1.2
This policy identifies responsibility for use, safe operation,
scheduling and maintenance of the kitchen and its associated equipment.
1.3 The
Kitchen Manager should be notified of any use other than Sunday AM
coffee, Sunday School coffee, Communion and Sunday PM youth (SNL) and
other regularly scheduled events of the church.
2.0
SCOPE
2.1 The
Property Committee has overall responsibility for the kitchen.
2.2 The
Kitchen Manager and the Property Committee shall develop necessary
operation procedures for the safe operation of all preparation and
serving equipment in the kitchen.
2.3 The
Kitchen Manager must approve donations and purchases of food preparation
equipment and service pieces.
2.4 The
Kitchen Manager must approve use by any outside group or food service
provider.
2.5
Sponsoring groups are responsible to insure that any outside catering
service is in compliance with all local, state and federal requirements
for the service that they provide. Copy of Caterer’s license and
insurance must be attached to “Request for Building and Equipment
Usage/Hold Harmless Agreement”.
3.0
GUIDELINES FOR USE
3.1 The
user is responsible for any equipment/food or beverage set-up/clean-up.
Refer to check out list regarding clean up.
3.2 If
broken dishes, damaged or defective equipment occur notify the Kitchen
Manager so that repairs or replacements can be arranged.
3.3
Highchairs/booster chairs are provided for user convenience and must be
cleaned after use.
3.4 The
User is not allowed to store items in the refrigerator or freezer
without the approval of the Kitchen Manager.
3.5
Items left in the refrigerator or freezer will be disposed of as
necessary to make room for regular programs.
3.6
Dishes and items left in the kitchen shall periodically be removed and
disposed of.
3.7
Kitchen equipment/supplies are not available for personal or private use
outside the kitchen.
3.8 The
kitchen is not available for food preparation for off site consumption
without the Kitchen Manager’s approval.
3.9
Dishwasher can only be operated by a certified person. $20 per hour for
rentals.
